OverviewThe Receptionist is an integral part of The Salvation Army staff. He or she is the first person with whom a caller or visitor speaks. Therefore, in some ways the Receptionist is the face and voice of The Salvation Army to many people. Serving with grace and courtesy is expected.   • Address visitors with courtesy inquiring of their business
  • Notify staff member via phone of visitors arrival
  • Request visitor sign guest book and issue visitor badge (In an emergency, i.e. fire alarm sounds, take guest book with you as you leave the building so that all visiting personnel are accounted for.)Answering Phone
    • Answer calls with courtesy and offer to assist caller, then transfer call to appropriate staff member
    • Advise caller of staff persons absence (if known) and offer to place them into staff members voice mail
    • Provide phone numbers to callers needing to reach other Salvation Army officesIntake Reception
      • Promptly and courteously performs Intake Reception duties for social service guests seeking assistance from The Salvation Army.
      • Collects necessary documentation from social service guests, make needed copies and prepares an application for assistance if guests meet eligibility requirements as established in local social service policies.
      • Schedule appointments with social service guests and staff as needed.
      • Provide referrals to other agencies as needed
      • Maintain social service statistics as assigned, organize social service files, and data entry as directed by the Social Services Director.
      • Authorize basic emergency assistance as directed by Corps Officers or Social Services Director.
      • Other duties as assigned to support social service departmentAdministrative Support
        • With supervisors approval, assist other departments with clerical assignments from time to time
        • Assist Supervisor with projects as may be assigned from time to timeOther Duties as May be AssignedQualifications
          • Previous successful experience in reception is preferred.
          • Must be extremely dependable, punctual, detail-oriented, and a good communicator with staff and public alike
          • Must have knowledge of customer service principles and practices
          • Must have knowledge of administrative and clerical procedures
          • Must have knowledge of computers and relevant software applications, i.e. Microsoft Word. Knowledge of Lotus Notes email system and Microsoft Excel desirable.
