Job Summary:
The Office Manager will oversee the general administrative function and activities of the office, supports the General Manager in day-to-day functioning through general office support, financial management, program and administrative support. Office manager maintains a positive working environment through organization and support of team members. Primary duties include bookkeeping and administrative support. The Office Manager should be a team player and seek ways to enhance and support team members and the overall functioning of the company.
Supervisory Responsibilities:
Oversees the daily work activities of the office.
May handle or assist with discipline and termination of employees in accordance with company policy.
Duties/Responsibilities:
Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
Maintains office files; implements an efficient system for other staff to access files and records.
Complete financial activities and maintain appropriate financial records.
General bookkeeping duties including accounts payable and receivable.
Reconciliation of all company accounts.
Assist in maintaining budget through budget entry and monitoring.
Assist with new hire orientation.
Ensure that all items are invoiced and paid on time.
Plan in-house or off-site activities, like parties, celebrations and conferences.
Planning and coordinating administrative procedures and systems and devising ways to streamline processes.
Purchasing PO processing, Purchasing Manager functions (supplier maintenance, purchasing guidelines).
Customer order processing order entry, customer communication, shipping and invoicing.
Performs other related duties as assigned.

Required Skills/Abilities:
Ability to type at least 60 words per minute.
Extensive knowledge of office management procedures.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Proficient with Microsoft Office Suite or related software.
Excellent time management skills and ability to multi-task and prioritize work.
An analytical mind with problem-solving skills
Education and Experience:
High school diploma or equivalent required; Associates degree in office administration or related field preferred.
At least five years of administrative and clerical experience required.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.PI114994474
